Placements

The Duration (days) field now displays as blank for any CancelledPlacements

 

Audit

New History pages have been added to the following forms; Housing Register applicationHomeless applicationReviewsPlacementsVoids.

These pages only display audit events related to the record being viewed.

 

 

The Audit Filter dialog has been updated to make it easier to find and select events to switch on.

 

Data retention

A new Data retention list has been added to the Administration folder.

This lists all data retention policies that can be configured in the system.

Each data retention policy is linked to a workflow and allows the number of months to be set before records in end states get anonymised. The retention policy also allows a number of months to be assigned to each attachment type that can uploaded against that record type.

 

 

Attachments have been updated so that the expiry dates are no longer set manually on the files but managed through the Data retention policies. 

 

 

A new set of fields have been added to each table that is covered by a retention policy:

  DP anonymised

  DP anonymised date

  DP will be anonymised?

  DP anonymisation date

  DP days until anonymisation

  DP anonymisation requested

  DP anonymisation request reason

  DP anonymisation request date

  DP anonymisation request due date

These fields allow lists to be created based on records that have been anonymised or are due to be anonymised.

 

 

Person and Case records have additional data retention fields to manage when records should not be anonymised:

  DP legal hold

  DP legal hold reason

  DP legal hold date

  DP legal hold review date

  DP restrict processing

  DP restrict processing reason

  DP restrict processing date

  DP restrict processing review date

 

 

A new overnight job has been created that sets the anonymisation dates for any records that are in an end state and attachments.

The job can be viewed in the Jobs list along with details of which records have been updated.

 

 

A new Data protection section has been added to each form covered by a data retention policy.

This displays details of when a record will be anonymised as well as allowing users to request immediate anonymisation if required.  

 

Permissions

A new Data Retention folder has been added along with the following permissions:

  Edit organisation data retention policies

  Edit system-wide data retention policies

  Edit a record’s data protection settings

  Request anonymisation for a record

  View job details

 

Fixed

Back office

Data protection

Fixed an issue where the Data protection form section was displayed for new Review and Housing Register applications.

 

Cases

Updated the Case dashboard to display the review number.

 

Public portal accounts

Fixed an issue where Public portal accounts were not reset after being locked out and a password change completed.

 

Voids

Fixed an issue where saving the Void form always flagged the Shortlist policy as being changed when it was not changed.

 

Homeless

Updated the logic used to select records for the H-CLIC extract to ensure records updated retrospectively after a quarter has finished are still included if that quarter’s extract is re-run.

 

Bids

Fixed an issue where the Skipping ID was displayed on an applicant's historic bids instead of the full Skipping reason.
