Public portal

Actions

A new History section has been added when viewing an Action that displays any Comments entered by the applicant or in the back office.

A banner is displayed if the back office has added a new comment since the Action was last updated by the applicant

 

 

A new Cannot complete this action section has been added.

This allows the applicant to submit a reason why they cannot complete the action. The comment is logged and the Action is moved to the Awaiting review state.

 

 

A new Refuse to complete section has been added.

This allows the applicant to submit a reason why they do not want to complete the action. The comment is logged and the Action is moved to the Awaiting review state.

This section is only displayed for Personal Housing Plan actions.

Back office

Action definitions

Both the Instruction message to staff and Instruction message to public have been updated from plain text fields to HTML to allow greater control and formatting of text.

Any existing text has been converted automatically.

 

 

A new field has been added, Can rename action?, to definitions.

This field determines whether a user can change the name of this action when they create one. By default, all existing and new action definitions have this set to No.

 

 

A new field has been added, Can change staff and public portal instructions?, to definitions.

This field determines whether a user can change the instructions of this action when they create one. By default, all existing and new action definitions have this set to Yes.

 

 

A new field has been added, Allow this action to be created by the applicant on the public portal. This allows an applicant to create a new action themselves from their My Actions page on the public portal account.

When selected a Creation content area is displayed to add additional instructions to the applicant.

This option can only be enabled for Case actions.

 

 

Two new standard Action definitions have been created:

  1. Send us a message
  2. Upload a file

These have been pre-configured to allow applicants to create a normal action or upload a file by creating a new action from the public portal.

Both these Action definitions are disabled by default.

 

Actions

New Staff log functionality has been added that allows multiple comments to be added to an Action.

These comments are only visible to users in the back office.

 

 

New Public portal log functionality has been added that allows multiple comments to be added by users in the back office or applicants on the public portal.

 

 

When creating Case People Actions additional information is displayed against each person in the dropdown; primary or joint applicant, and age.

 

 

A new Agreed with client field has been added to Actions.

This field is only displayed if the Personal housing plan action field is set to Yes.

All existing Personal housing plan actions have had this field set to Yes as part of the system release.

 

 

Instructions for staff and for the public portal can be edited, if allowed on the Action definition.

An Edit button displays an editor that allows the text to made bespoke for this action. 

 

 

The Action name can be edited, if allowed on the Action definition.

 

 

A new filter has been added to Actions with attachments to allow only attachments connected to the Action to be displayed, or all attachments of that type connected to the Person/record.

Attachments connected to the Action are displayed by default.

 

 

The Created date and time, and Deleted date and time if relevant, are displayed alongside any attachments.

Attachments are ordered with the most recently created at the top.

 

 

A new Review button has been added to allow individual attachments to be marked as reviewed. 

This information can be cleared if required.

 

 

Any Person that has left a Case no longer appears in the dropdown list when creating a Case Person action.

 

Audit

New journal entries have been added to cover the following events:

  1. File uploaded
  2. File deleted
  3. File title or type changed

 

Website

A new field has been added, Allow new actions to be created from My Actions.

This controls whether applicants are allowed to add new actions themselves.

By default this is disabled.

 

 

The My Actions page is now visible in the website Contents.

Content can be added if applicants are allowed to create actions themselves.

Additional content can be added to the bottom of the My Actions if required. This content is displayed regardless of whether they can create actions themselves or not.

When closing an application or case any active Actions are moved to
the Removed state.

Fixed

Back office

Actions

Fixed an issue where Removed actions could still be displayed when the Current filter was applied.

 

 

Fixed an issue where the Personal Housing Plan default value from the Action definition was not being correctly set on the Action when created.

 

 

Added Awaiting review filter into the Filter panel on the Actions page as it was missing.

 

Action definitions

Fixed an issue where the Required attachment type field did not include the usual X button to clear the field once an item had been selected.

 

Files

Fixed an issue where the loading spinner would run forever if the file thumbnail or image preview could not be loaded for a file.

 

Homeless

Fixed an issue where the previous H-CLIC quarter was incorrectly calculating when downloading an H-CLIC file for an individual case.
