5. Lookups

Lookups can be amended through the Form Editor and the fields they are assigned to, or directly from the Lookups list.


When a lookup is edited the details of the lookup are displayed.

Name and description of the lookup

Values 

List of all active and inactive items associated with the lookup

Enter a new dropdown value
Allows a single new value to be added to the lookup
Add multiple values
Allows multiple new values to be added to the lookup


Display the relevant items according to the version of the list chosen. Published versions of the list cannot be amended


Items can only be viewed when displaying a published version of the lookup


Items can only be edited when viewing a draft version of the lookup


Save the lookup


Cancel changes and return to the list


Lookup values

Each lookup value has a number of configuration options associated with it.

Tooltip text

Help text that is displayed against the specific item

Icon text

Text that appears in the icon next to the item in the list. Can be a maximum of 2 characters

Tags

Used by certain lookups for additional functionality

Hide value

Hide the value from the lookup if no longer needed


Save the changes made


Close the window without saving any changes



Lookup versions

When a change is made to a lookup a banner is displayed to highlight that the changes need to be published before they are visible to users.


Once a lookup has been marked as Published, when it is saved the changes are then made live and a new draft version of the lookup is created ready for the next time it needs to be amended.

Lookup tags

Certain lookups have Tags assigned to their lookup values. These tags are used to provide additional functionality in the system.

The Tags field identifies what, if any, tags are able to be assigned to the value.
The following lookups use tags assigned to their lookup values.

Band
Used to determine the priority order of bands and which bands can be used as a local connection override (if enabled)
Floor
Used to determine which floors are classified as 'Ground floor'
Garden
Used to determine which values display the garden icon on the public portal 
Gender
Used to determine H-CLIC sex at birth values
Ground floor lift
Used to determine the shortlisting priority order
Key worker
Used to determine the shortlisting priority order
Level access required
Used to determine the shortlisting priority order
Medical exemption type
Used to determine which values display the medical exemption icon on the public portal
Member of the Armed Forces
Used to determine which values display the armed forces icon on the public portal, and the shortlisting priority order
Parking type
Used to determine which values display the parking icon on the public portal
Pets allowed
Used to determine which values display the pet icon on the public portal 
Sexual orientation
Used to determine H-CLIC values
Shortlist offer rejection reasons
Used to determine which values require a note to be entered, and which are reasonable/unreasonable
Shortlist skipping reasons
Used to determine which values require a note to be entered
Triage outcome
Used to determine which values suggest the Advice only/Not required states
Wheelchair adaption required
Used to determine the shortlisting priority order
