16. Jobs


Job records are used to record details of any overnight jobs that have run. They provide details of the records that have been updated or included in a file as part of the job.

Jobs list

The Jobs option in the explorer displays a list of all the jobs that have been run in the system.


The following types of jobs can be found in the Jobs list:
  1. Housing register renewals
  2. Data retention policy check
  3. Data retention policy anonymisation
  4. HCLIC quarterly export
  5. Automatic case updates
  6. Automatic archive
  7. Automatic person updates
  8. Automatic housing register updates
Jobs can be marked as Acknowledged if you want to track which ones have been checked and which ones have not.

Housing register renewals

Frequency: Nightly


Starts the Housing register renewal process for any applications that meet the specified criteria.
Closes any applications that have not completed the renewal process by their assigned target date. Any applications that cannot be closed due to outstanding bids/offers remain open but have the Active renewal needs review flag set to 'True'.
Includes links to all Housing register applications that have been updated. 

Data retention policy check

Frequency: Nightly


Finds all records that data retention has been enabled for, and have entered an End state, and sets the data protection fields to record when they will be anonymised.
Includes links to all records that have had a data anonymisation date set.

Data retention policy anonymisation

Frequency: Nightly


Finds all records that have reached their anonymisation date and redacts any personal data.
Includes links to all records that have had data anonymised.

H-CLIC quarterly export

Frequency: Quarterly


Creates the H-CLIC case and Personal data XML files immediately after the quarter has closed.
Both files can be downloaded from within the Job. 
The job can be run again and files will be re-created using the current data. A new Job record is created with the new copy of the files.
Includes links to all Homeless applications that have been included in the file.

Automatic case updates

Frequency: Nightly


Finds all households that have an Active bedroom assessment, and a household member that has reached significant birthday that will affect the bedroom calculations. Recalculates the Min & Max bedroom need values.

If a bedroom override is in place then a Review bedroom assessment action is created.
If the Effective min bed need is greater than the Number of bedrooms they have use of then the Is overcrowded? field is set to 'True'.
Includes links to all Cases that have been updated.

Automatic archive

Frequency: Nightly

Archives people not connected to a Case based on the rules specified under System settings -> People -> Enable automated people archiving
Archives cases with no active case strands based on the rules specified under System settings -> General -> Automated case archiving
Sends reminders and closes incomplete housing register applications based on the rules specified under System settings -> Housing register -> Enable automated closure of incomplete housing register applications
Closes submitted pre-assessment applications based on the rules specified under System settings -> Housing register -> Enable automated closure of submitted pre-assessment applications
Closes ineligible pre-assessment applications based on the rules specified under System settings -> Housing register -> Enable automated closure of ineligible pre-assessment applications
